ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Establishes and maintains cooperative working relationships with staff, patients, outside agencies, and vendors.
Responsible to maintain records and files for Medical Staff office, including credentialing files for licensed independent practitioners (LIP); responsible to create and/or maintain logs and checklists and perform necessary follow-up to assure LIP credentialing records are current and meet Office of Inspector General (OIG) and Health Resources Services Administration (HRSA) requirements at all times; this includes assuring LIPs are re-credentialing and privileging every 2 years.
Responsible to manage the orientation process for providers. This includes being responsible for the following: (1) Setting up and coordinating with other staff the orientation schedule for the provider based on an orientation schedule template; (2) Preparing the orientation packet for the provider (3)Informing the provider of the dress code and the process for getting lab coats ordered prior to beginning work; (4) Assuring the provider has assigned office space available on the first day of work; (5) Informing the provider of documents/information he/she is responsible for providing for insurance credentialing; (6) Timely notification of the appropriate staff that a new provider needs insurance credentialing (7) Collecting and filing or providing to Human Resources all forms needing signatures and/or documentation of training during orientation..
Assists the medical director in addressing problems when requested, and in planning for projects and meetings and provides information on department services and functions as needed.
Screens incoming telephone calls and visitors.
Answers routine to moderately complex questions on behalf of the Medical Director. Makes preliminary assessment of the importance of matters and uses appropriate judgment in determining appropriate actions to respond to calls and questions.
Assists in grant application activities by collecting, organizing, scanning and uploading needed documents and information and other tasks as needed.
Provides customer service to internal and external customers by accepting incoming telephone calls and visitors in a friendly and professional manner. Tactfully directs callers and visitors to the appropriate parties.
Prepares and maintains correspondence and electronic records, including letters, meeting minutes, forms, and reports from drafts. Composes replies to correspondence as directed by the medical director; maintains filing systems for agendas, minutes and relevant materials; compiles monthly reports for distribution to staff committee members.
Makes appointments and maintains appointment schedule for the medical director, making sure that communication between the medical director and department staff is kept open.
Provides general administrative assistant support to include filing, photocopying, scanning, collating, faxing, and sharing mail pick-up and distribution with other staff. Completes invoices and/or places orders for office supplies, hospital dues, and other items as directed by the medical director.
Contacts persons in the department or in outside agencies to collect or give information, makes arrangements for meetings, trainings and conferences.
Required Education/Experienc:
High School diploma/GED and 18 months business education or training beyond the high school level and five (5) years of responsible administrative experience; experience with data entry, word processing, and Excel spreadsheets, meeting minutes. Experience providing support to management level personnel. |
